How to order chiller service

Fouled condenser coil of an air-cooled chiller before cleaning

Ordering chiller service from us takes one e-mail with a few photos and a short description. From that we prepare an offer with a fixed price for diagnostics, plan the visit or a workshop repair, and after the work you receive a report and, if needed, a quote for the repair.

Good information at the start saves a second trip. A technician who knows the model, refrigerant and alarm before leaving can bring the right parts and tools, and a visit that would otherwise end with a diagnosis can often end with a repair.

Step 1: send us the basic information

Use the contact form or write to info@chillerserwis.com. We communicate in English, German or Polish. The following information helps us most:

  • A photo of the nameplate, readable, with model, serial number, refrigerant type and charge.
  • The exact alarm text or code from the controller display, ideally a photo of the screen.
  • A short description of the symptoms: since when, how often, at what time of day or outdoor temperature.
  • Photos of the whole unit and of its surroundings, including access to the roof or plant room.
  • What has already been done, for example resets, cleaning, previous repairs or refrigerant top-ups.
  • The site address and contact person, plus any site requirements such as safety induction or permits.

Step 2: offer with a fixed diagnostic price

Based on the information, we prepare a written offer. For a first visit, the offer covers diagnostics with measurements at a fixed price, plus travel. For work outside Poland the prices are:

ItemPrice
Diagnostics on sitefrom 3,000 PLN net
Labour500 PLN net per hour
Travel3.20 PLN net per km

For sites in Poland, prices are given individually in the offer. The offer also states what is included in the diagnostic visit, what is billed separately (for example refrigerant, parts or cleaning agents) and the payment terms. Only a written offer accepted by the customer is binding. Our general terms are available on the terms page.

Step 3: visit on site or workshop repair

Visit on site

After the order is confirmed, we agree on a date. Our working hours are Monday to Saturday, 8:00 to 16:00 CET. On site, the technician checks the unit with gauges, temperature probes and electrical meters, reads the alarm history and inspects the components. Small faults such as a failed sensor, contactor or fan are often fixed on the spot if the part is available. For larger repairs, the visit ends with a clear diagnosis.

Workshop repair

Smaller units, such as compact process chillers, laser chillers or dampening and alcohol dosing units from printing presses, can be sent to our workshop in Wałsnów. The customer ships the unit or we arrange collection. In the workshop we have time and space for a full diagnosis, pressure testing and test runs under load, which often makes the repair faster and cheaper than on site. More on our workshop repairs page.

Step 4: report and quote

Every visit ends with an electronic report in English, which the customer signs on site. The report contains:

  1. Unit data from the nameplate.
  2. Measured values: pressures, temperatures, superheat, subcooling, currents, water temperatures.
  3. Photos of the findings.
  4. The work carried out and the parts and refrigerant used.
  5. The diagnosis and recommendations with priorities.

If a repair is needed that could not be done during the visit, we send a quote with the scope, parts and estimated time. You decide whether and when to proceed.

Planning ahead: inspections and leak checks

Not every order is a breakdown. Many customers order planned inspections, F-gas leak checks or condenser cleaning before the summer. These visits can be planned well ahead, combined for several units at one site, and scheduled at times that do not disturb production. Combining tasks in one trip also reduces the travel cost per unit. The scope of planned service is described on the chiller service page.

What we do not take on

To save you time, please note that we do not service split and VRF air conditioning, fan coils, cooling towers or refrigerated display cabinets, we do not offer 24/7 standby, and we do not carry out warranty service on behalf of manufacturers. We work on chillers and industrial cooling of all brands after the end of the warranty.

Frequently asked questions

How quickly can you come?

It depends on the distance and the current schedule. Send us the information and we will propose the earliest date in the offer. Clear information in advance helps us plan a visit that ends with a repair.

What if I cannot read the alarm code?

Send a photo of the controller display and the nameplate. In many cases we can identify the controller type and explain where to find the alarm history.

Is the diagnostic fee deducted from the repair?

The diagnostic visit and the repair are priced separately. The offer always states exactly what is included, so there are no surprises.

Can we order service for several units at once?

Yes, and it is usually cheaper per unit because travel is shared. List the units with their nameplate photos and we will prepare one offer.

Do we need to be present during the visit?

A contact person should be available to give access, explain the history and sign the report. The technician explains the findings before leaving.

Ready to order?

Send the nameplate photo, the alarm text and a short description, and we will reply with an offer.
