This notice explains how ChillerSerwis Sp. z o.o. processes personal data in connection with this website, enquiries and the performance of contracts. It corresponds to Annex 1 to our General Terms (GDPR information).

1. Controller

The controller of personal data is ChillerSerwis Sp. z o.o. (details above). You can contact us about data protection at info@chillerserwis.com.

2. What data we process

Data you give us in the contact form, by e-mail or by phone: name, business e-mail and phone number, company name, VAT ID, equipment location, description of the equipment and the job, photographs you send us. When a contract is performed: data of persons representing the Customer on site, signatures in service reports, data required for invoicing and for F-gas records (equipment, refrigerant, leak check results).

3. Purposes and legal bases

1. Answering enquiries and preparing offers: Art. 6(1)(b) GDPR (steps prior to a contract) and Art. 6(1)(f) GDPR (our legitimate interest in business communication).
2. Performing contracts: Art. 6(1)(b) GDPR.
3. Accounting, tax and F-gas documentation obligations: Art. 6(1)(c) GDPR.
4. Establishing, pursuing and defending claims, documenting work (photos, reports): Art. 6(1)(f) GDPR.
5. Publishing a customer rating from a signed service report: the Customer's decision in the report.

4. Recipients

Hosting and e-mail provider (JCHost.pl, Poland), accounting office, IT and software providers, couriers and carriers, banks, legal advisers, the companies of our group (ChillerSerwis Sp. z o.o., SKiC Sp. z o.o., ChillerTech Sp. z o.o.) where they take part in the job, and public authorities where required by law (e.g. F-gas register). We do not sell personal data.

5. Transfers outside the EEA

We do not transfer personal data outside the European Economic Area.

6. Retention

Enquiries that do not lead to a contract: up to 12 months. Contract data: for the term of the contract and then until claims become time-barred (generally 6 years). Accounting documents: 5 years from the end of the year in which the tax obligation arose. F-gas records: as long as required by law.

7. Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and the right to object to processing based on legitimate interest. You may lodge a complaint with the supervisory authority: the President of the Personal Data Protection Office (Prezes UODO), ul. Stawki 2, 00-193 Warsaw, Poland, or with the authority in your country of residence or work.

8. Is providing data required?

Providing data is voluntary but necessary to answer an enquiry and to conclude and perform a contract.

9. Automated decisions

We do not make decisions based solely on automated processing, including profiling.

10. Cookies and logs

This website uses only technically necessary cookies (e.g. security tokens of the contact form and, for logged-in administrators, session cookies). We do not use analytics or advertising cookies. Our hosting provider records server logs (IP address, date, requested page) for security purposes for a short period.
